The First Annual Hayes Software Systems TIPWeb-IM (Inventory Management) Conference for the State of Virginia was held last month. The event was sponsored by Hayes and hosted by Virginia Beach City Public Schools (VBCPS) in the Supply Services Training Room. The conference was opened to other Virginia school districts and inventory control experts.

TIPWeb-IM is the inventory textbook software that VBCPS implemented in 2010. This conference was set-up as a networking, round table discussion about textbooks and instructional materials.  School districts in Virginia and the neighboring state of Maryland, who have implemented & are looking into this program, were invited to come and share their experiences and best practices.

The conference was a great success.  With our Chief Operations Officer, Division Services, Dale Holt giving an official welcome and the team from Supply Services, including Mr. Eric Woodhouse, Karen Ransom, Gary Koelling, April Hammock, Brittany William helping to coordinate discussions with the help of Dr. Nicole DeVries from Teaching and Learning, this was the perfect opportunity for district level Hayes Software Systems customers who use TIPWeb-IM to learn best practices from their peers.  Also, this was an opportunity for Hayes to provide feedback for future features in the TIPWeb-IM Software.

The TIPWeb-IM program has been a vital and value tool to VBCPS.  For starters, it has increased accountability within our division.  Since the implementation of the program, textbook losses have decreased tremendously.  As a testimonial, a representative from elementary, middle and high schools were invited to give their success stories.  Jill Keogh, John B. Dey; Kathryn Vincze, Lynnhaven Middle; Sharon Callahan, Brandon Middle; Laurie Ranz, Kempsville High; and Helen C. Kiser, Tallwood High all attended the conference.  Also, Dr. Nicole DeVries, Administrative Coordinator from the Department of Teaching and Learning attended as well.  These ladies were outstanding with the valuable information they shared.

Hayes Software Systems chose Virginia Beach because we were the perfect example of how the product should work.  Just before lunch, a tour of the warehouse was given by Gary Koelling, Warehouse Coordinator – Supply Services.  This was quite the treat for most of the visiting school systems as we were complimented over and over again about how organized our facility was.  Well, what can one expect as we are a school system “Ahead of the Curve”?  For our valuable time and availability, we were given an incentive of a $500 credit to use toward additional training, professional services or the purchase of TIPWeb-IT (Inventory Technology).

Thank you to everyone who represented Virginia Beach City Public School and helped to make this a great success!
